Massif MSP for Nonprofits

Cost-effective solutions to accelerate your mission.

501(c)(3) Case Study: Maine Franco-American Genealogical Society

When the Officers and Board of Auburn's Genealogical Society approached Massif MSP, it was with a limited IT budget that needed to affordably repair mission critical, but failing computers that were end of life and upgrade older scanners that took too long to scan.

But the society didn't just need IT maintenance, it also has a limited time to meet new objectives, aging documents needed to be archived before disintegration, combined with limited volunteer time to scan tens of thousands of Lewiston obituaries. Mindful of the future, they also wanted to future-proof the preservation with OCR, which converts photos of documents to their text, but without ongoing monthly or annual subscription costs.

Two computers demonstrating the OCR scanner and virtual machine resources. Two of the computer upgrades showing MFGS's new virtual machine and OCR book scanner; taken at Auburn, Maine's Public Library. Massif MSP repaired and virtualized some computers, restoring access to historical databases and sourced how the society could purchase discounted, new equipment within their budget for use with their current assets and nonprofit status. Massif MSP phased out the greatest cybersecurity risks, removed a malicious program, deployed new discounted equipment, and trained users at the Library headquarters as well as at a mobile site in cemetery offices. The scanner could account for dual pages in books, and used lasers to identify and correct for curvature of book pages, in addition to ensuring OCR was included in the one-time price of the scanner. The increased scanner speed can process hundreds of scans per hour reducing volunteer scanning hours significantly. This has enabled volunteers to scan more data and plan additional archive projects as they move to digitalize their offerings to make their library of resources available internationally.

Common Themes, Easy Solutions

The most common issue with nonprofits is how data collection and moving data between required applications takes up the most time for your organization. At Massif MSP, we streamline data management. We ensure we find the most cost-effective solution for implementation to accelerate your mission.

Protect your Donors, Clients, Staff, and Volunteers

Massif MSP gives nonprofits roadmaps on how to migrate to modern information security practices that avoids unnecessary costly temporary stop-gaps along the way. You depend on your computer systems, and your community depends on you for your services. One common mistake is having key employees or board members like treasurer/CFO use their personal email accounts to manage accounts for website domains, website hosting electric, or phone; if they depart on bad terms, experience an accident, or pass, we've had them or the surviving partner raise concerns about or not permit the organization to search the personal laptop and phone to regain access. For many hosting companies, if you can get someone on the line, they'll require significant time-locked security protocols like snail mail verifications. Additionally they may have problematic requirements like published board meetings confirming your claims (on the website that you just lost access to), or additional proof if they allow you to regain access.

Another critical but common mistakes non-profits often make is purchasing similar cybersecurity defenses or analyzing and negotiating on one cybersecurity component correctly, but then buying an overpriced upgrade because it's from the same company, when financially the consideration to upgrade should have caused a new RFP review of how assets are protected. A good MSP (preferably one without vendor partnerships) should give a holistic, defense-in-depth explanation of what purchases most strategically reduce the greatest threats, likelihoods and impacts your organization may face for threats. Free or Discounted Software for Non-Profits

Non-profits may not realize free or discounted options for software and computers exist when they ask IT companies for help. If you are a 501(c)(3) there are many discount options available to you.

Running your website's email through Google non-profit can be free or discounted with Google Workspace for non-profits (and they have seperate grants for up to $10,000 in free text advertising!), We aren't affiliated with them, but we often recommend non-profits look at Tech Soup before purchasing items, as it is many non-profit's go-to for discounted hardware and software. Their free or discounted software/cloud products are available from many providers including Microsoft 365, Canva, Slack, FoxIt Pro, Salesforce Nonprofit Success Pack, and Adobe's Suite.

Free Nonprofit Cybersecurity Resources

If your nonprofit is assessing cybersecurity costs, start with trusted sources (not online clickfixes!) but start for free: visit https://www.cisecurity.org/cis-benchmarks they provide security setting recommendations to non-profits and to State, Local, Tribal and Territorial members. Their website is free for non-commercial use, so use your non-profit status to download the latest files for the specific devices/servers/apps your non-profit uses.

Cybersecurity recommendations change regularly and these files provide concrete practical security settings to compare current settings against. The files will instruct your technician/comptroller on what configuration settings to look at, what their professionals recommend and why. This can be a good low/no-cost exercise to review core critical cyber defenses. We encourage tracking the time taken for each task seperately; first to compare the settings, then determine what should change, then perform Change Control, before ultimately changing settings. Tracking and documenting how much time maintaining cybersecurity gives employees/leadership a metric to estimate ongoing cybersecurity maintenance costs, and the time it would take to respond to a critical vulnerability issue on a monthly, quarterly, or biannual basis; this process can then be optimized to reduce employee workload.
We aren't sponsored or affiliated with the two organizations above, but we don't like the imbalance of forcing non-profits with limited resources to contact us for something they can get for free. We can help with so many other tech things, our technology and cybersecurity recommendations don't center on selling people new computers/software/services/etc. We want to know what your nonprofit does and what it wants to do and the lessons you learned that made you choose not to do it other ways. Our job is to help people to find where to look next, we typically just need to know where you want to guide your organization, (the opportunities, needs, or limitations your nonprofit faces) along with any thoughts or curiosity you have about how a technology expert would approach your situation. It's often quicker to have a free 15 minute call to see if technology is even the right solution. (sometimes it is not!) and what tech is most helpful for your organization's purpose. This often gives you an answer of what route a managed service provider would recommend you consider and helps us both gauge to see if we'd even be a good fit to help you..
We do this free because we 100% prefer those calls over a nonprofit approaching us with a down system, emergency, or other need when we might have weighed risks and benefits of storing things elsewhere including Google or Microsoft's free non-profit services.

An aside, even if you're using Google's free e-mail in the browser/cloud, ongoing budgets can still be too tight for software on your desktop, so we can help you find free or open-source products like (LibreOffice, Notepad++, OpenOffice) to solve your most pressing issues, that's not a thing a typical MSP helps people to do.
